Implementation Protocol & Financial Guidelines

All Building Committees are requested to strictly adhere to the following guidelines:

  • Issuance Limit: Each flat is eligible for a maximum of 4 PVC access cards. (Provision for additional cards is available in the application form.)
  • Administrative Fee: A nominal charge of ₹100 per card is applicable towards production and administrative costs. This is applicable only for registered residents of the respective flats and not for visiting relatives. ₹200 per person for more than 4 members.
  • Duplicate Cards: In case of loss/damage, a fresh application along with approval from the respective Building Committee is required. Charges for duplicate cards will be ₹250 per card. (Note: Charges may be revised in future.)
  • Security Deposit (Rental Units): For rented flats, a mandatory refundable deposit of ₹1,000 must be paid at the time of registration. This amount will be refunded upon return of the cards. The deposit is non-transferable.
  • Operational Procedures: All rules, regulations, and usage terms are detailed in the application form. Kindly ensure these are clearly communicated to residents.

Resident Submission Guidelines

Residents are required to carefully fill in the application form with accurate details. Please ensure the correct spelling of names, as the same will be printed on the cards.

Photo Specifications

Residents must also upload a latest photograph as per the following specifications:

  • Photo Size: 33mm x 45mm
  • Background: Plain white or light-coloured background
  • File Format: .JPG or .PNG
  • Resolution: Minimum 300 DPI
  • Cropping: Face should be centered and occupy approximately 50–70% of the image

Note: Applications with incorrect details or improper photo specifications may be rejected.

Post submission, the Federation will share application summaries with respective buildings for data validation and approval.

Each Building Management Committee must ensure data accuracy and prevent misuse.

After verification and attestation, the Federation will proceed with card printing (Printing of the cards will be done in-house). Printed cards will be handed over to the respective societies in batches.
